Position Purpose

As a Concierge, you will be the first point of contact for tenants, guests, and visitors, providing a warm and professional welcome. Your role will involve managing incoming phone calls, responding to emails and requests, maintaining a friendly and professional presence at reception, coordinating tenant events, and providing administrative support including marketing and other administrative duties. You will be responsible for ensuring the smooth operation of the foyer and common areas while enhancing tenant and client satisfaction.

Qualifications & Experience

  • Experience in a similar role

  • Qualification in administration or marketing is preferred

  • Advanced proficiency in MS Office products

  • Intermediate level proficiency in MS Office features including Word, Excel, PowerPoint, and Outlook is required

  • Excellent verbal and written communication skills

  • Must be punctual, reliable, and responsible

  • Strong multitasking abilities and customer service skills

  • A security license with is preferred but not essential

  • Well-groomed with excellent hygiene and professional presentation

Key Responsibilities

  • Greet guests and customers warmly and professionally at the reception desk

  • Notify relevant personnel promptly of visitors' arrival

  • Answer, screen, and forward calls in a timely and courteous manner

  • Accurately capture and relay messages

  • Follow procedures to maintain security and workplace health and safety

  • Coordinate calendars and schedule appointments

  • Prepare meeting rooms and ensure all arrangements are in place

  • Tidy meeting rooms before and after meetings

  • Maintain an updated list of internal contacts

  • Sort and distribute daily mail, deliveries, and couriers if required

  • Provide general administrative support

  • Assist with planning and coordinating tenant events and communications

  • Ensure lobby facilities and common areas are tidy and well-maintained

  • Report incidents, hazardous conditions, and emergencies immediately

Requirements

  • Previous experience in a concierge, customer service, or front desk role preferred

  • Minimum of 2 years' experience in a concierge, customer service, or front desk role is required

  • Excellent communication and interpersonal skills

  • Strong attention to detail and ability to multitask

  • Professional presentation and a proactive approach to problem-solving

  • Knowledge of security procedures and emergency response protocols is a plus

  • Ability to work both independently and as part of a team

  • Australian citizenship is required for this position
