About Us
Vortex Property Group is a boutique developer-builder dedicated to supporting business growth within a family-oriented environment. We pride ourselves on fostering a collaborative, approachable, and professional culture. We are seeking a proactive and driven individual whose professionalism, confidence, and initiative will be highly valued and contribute to the continued success of our team.
Your Purpose
You'll work directly with a Founder & Managing Director running multiple companies and projects in a fast-paced, high-expectation environment. The work is complex, deadlines matter, and accountability is non-negotiable. We're looking for someone who thrives in this setting, not someone who needs protecting from it.
You'll be the person who keeps everything moving, managing priorities across multiple businesses, preparing the Founder & Managing Director for high-level meetings, drafting sharp communications, coordinating stakeholders, and stepping in confidently when decisions can't wait.
When the Founder & Managing Director is unavailable, you act with authority, and people take you seriously.
What you will do:
Own the Founder & Managing Directors schedule, emails, and any action items diligently
Anticipate needs and solve problems before they escalate
Manage priorities and deadlines across multiple businesses
Prepare for and follow through on executive and board meetings
Represent the company and Founder & Managing Director's in his absence - supporting the team and ensuring nothing slips
Fast correspondence that reflects the Founder & Managing Director's voice - clear, direct, and professional
Coordinate with lawyers, accountants, consultants, banks, and suppliers
Drive accountability when teams or timelines slip
Improve systems, processes, and communication flow
Take ownership of ad-hoc projects and deliver outcomes
Decipher complex tasks and projects, ensuring that outputs are comprehensible
Assist with data entry and ensure Founder & Managing Director’s emails and documents are filed
About you:
You're an experienced EA who operates with confidence, discretion, and commercial awareness.
You don't wait to be told, you see what needs doing and handle it
You'll bring:
4-5+ years' experience supporting senior executives in fast-paced environments
Strong judgement, attention to detail, and follow-through
The ability to manage competing priorities without dropping standards
Confidence managing up and challenging when required
Strong Microsoft Office and SharePoint skills
A calm, professional presence under pressure
Familiarity with the local Sydney area (Hurstville) is considered a plus.
This role is not for you if you:
Need detailed instructions for every task
Want predictable, low-pressure work
Avoid responsibility or decision-making
See yourself purely as support staff
Why Join Us?
Benefit from supportive leadership with a friendly team culture.
Gain unique exposure to both the operational and financial parts of the business.
Enjoy significant variety in your day-to-day tasks, ensuring no two days are the same.
You will be highly valued and integral to a family run business where you will have opportunities to broaden your skills
You will be trusted. You will be challenged. You will grow.
