Service Support Administrator
Role Purpose

This role is established to address a growing operational gap in service coordination, governance, and accountability across service contracts. With increasing service volumes, dependencies, and compliance requirements, key administrative and coordination activities are currently being absorbed by technical teams, impacting efficiency and service quality.

The Service Support Administrator will provide dedicated ownership of service administration processes, ensuring consistent handling of service requests, reporting, vendor coordination, and compliance activities. The role will strengthen operational control, improve service reliability and user experience, and reduce risks associated with delays, escalations, and rework.

About the Role

As a Service Support Administrator, you will support the day-to-day administrative activities within the service contract environment. Your primary focus will be supporting Vanderlande’s site-based and field service teams operating in advanced automated warehouse facilities across Australia and New Zealand.

You will work within a collaborative and professional team environment, contributing to the smooth execution of service operations and ensuring effective coordination across stakeholders.

Key Responsibilities
  • Provide comprehensive administrative support to service teams to ensure smooth and efficient operations
  • Maintain accurate documentation, service records, and compliance-related information in line with contractual and regulatory requirements
  • Coordinate service-related activities including requests, incidents, and reporting to ensure consistency and timely resolution
  • Support vendor coordination, including tracking deliverables, documentation, and compliance requirements
  • Assist in preparing service reports, performance tracking, and operational updates for stakeholders
  • Facilitate communication between site teams, management, and external stakeholders to ensure alignment
  • Support scheduling, resource tracking, and administrative planning for service teams
  • Assist in maintaining standard operating procedures (SOPs) and improving administrative processes
  • Monitor and support infrastructure-related administrative tasks within the service environment
  • Contribute to continuous improvement initiatives to enhance efficiency, governance, and service quality
Skills & Experience
  • Previous experience in administrative or coordination roles, preferably within a service or operations environment
  • Strong organizational and documentation management skills
  • Ability to manage multiple tasks and priorities in a fast-paced environment
  • Good stakeholder management and communication skills
  • Proficiency in Microsoft Office and relevant systems/tools
  • Attention to detail with a focus on accuracy and compliance
