About the Role

We are looking for a highly organized and customer-focused Warehouse Administration & Customer Service Operator to join our team.

This role is the key link between our warehouse operations, customers, transport providers, and internal departments. You will be responsible for providing exceptional customer service while ensuring accurate warehouse administration, inventory transactions, order processing, and transport coordination.

Key Responsibilities
Customer Service
  • Manage customer enquiries via phone and email.

  • Provide order status updates and delivery information.

  • Resolve customer issues and escalate where required.

  • Build and maintain positive customer relationships.

  • Liaise with sales, logistics, transport providers, and warehouse teams to ensure customer expectations are met.

Warehouse Administration
  • Process customer orders accurately and efficiently.

  • Create and manage warehouse transfer orders and dispatch documentation.

  • Generate delivery dockets, manifests, invoices, and shipping paperwork.

  • Maintain accurate inventory records within the Warehouse Management System (WMS) and ERP systems.

  • Investigate stock discrepancies and support inventory control activities.

  • Process Proof of Deliveries (PODs) and customer claims.

  • Monitor and update transport bookings and delivery schedules.

Operational Support
  • Support warehouse and inventory teams with administrative tasks.

  • Ensure all system transactions are completed accurately and on time.

  • Maintain documentation and filing systems in accordance with company procedures.

  • Assist with reporting and KPI tracking.

  • Contribute to process improvements and operational efficiencies.

Skills & Experience

To be successful in this role, you will have:

  • Previous experience in customer service, warehouse administration, logistics administration, or supply chain support.

  • Strong computer skills, including Microsoft Office (Excel, Outlook, Word).

  • Experience using ERP and Warehouse Management Systems (WMS).

  • Excellent communication and interpersonal skills.

  • Strong attention to detail and accuracy.

  • Ability to prioritize tasks and manage multiple deadlines.

  • Professional phone manner and customer-focused approach.

  • Strong problem-solving and organizational skills.

Desirable Experience
  • Experience in FMCG, food manufacturing, warehousing, transport, or distribution.

  • Knowledge of inventory control processes.

  • Experience with freight booking systems and transport coordination.

  • Understanding of warehouse and supply chain operations.
