Malwa Fleet Pty Ltd is seeking an experienced Contract Administrator to manage the company's contractual and commercial arrangements. The successful candidate will be responsible for administering and monitoring customer contracts, transport service agreements, subcontractor agreements, fleet finance agreements, supplier agreements and insurance arrangements to ensure compliance, minimise commercial risk and support business growth.

Task & responsibilities

  • Develop, review and negotiate transport service agreements, customer contracts and contract variations.
  • Prepare and administer subcontractor agreements for owner-drivers and transport contractors engaged by the business.
  • Manage fleet finance agreements associated with company-owned heavy vehicles and related transport assets.
  • Review, negotiate and monitor supplier agreements relating to transport operations and business services.
  • Ensure all contractual arrangements comply with company policies, relevant legislation and industry regulations.
  • Review insurance arrangements and contractual insurance requirements to ensure adequate business protection and compliance.
  • Respond to contract-related enquiries, negotiate contract variations and resolve contractual disputes with customers, subcontractors and suppliers.
  • Maintain, interpret and administer contract registers, records and documentation relating to customer, subcontractor, supplier and finance agreements.
  • Monitor contractor performance and report on variations to work orders, service requirements and contractual obligations.
  • Manage contract renewals, extensions and terminations in accordance with business requirements.
  • Prepare and review organisational submissions, commercial reports and contract performance documentation.
  • Identify contractual risks and recommend strategies to minimise exposure and improve compliance.
  • Liaise with customers, subcontractors, financiers, insurers and suppliers regarding contractual matters.
  • Maintain contract tracking systems and ensure all contractual documentation remains current and compliant.
  • Review and monitor compliance with contractual terms and conditions and report on contractual performance, obligations and non-compliance issues.

Qualification & experience

  • Diploma or higher qualification
  • At least two years of relevant experience
  • Experience within the transport, logistics, supply chain or freight industry will be highly regarded.
  • Strong negotiation, contract management and stakeholder engagement skills.
  • Excellent organisational, analytical and communication skills.
  • Proficiency in Microsoft Office and contract management systems.
