Responsibilities

Brullen Pty Ltd is seeking an experienced and organised Office Manager to oversee and coordinate the administrative operations of our business. Reporting to management, the successful candidate will be responsible for ensuring the efficient day-to-day functioning of office systems, administrative procedures, staff coordination, customer communication, and business support activities. The role plays a key part in supporting equipment servicing, machine shop operations, parts distribution, and technical support functions by maintaining effective administrative processes, managing workflows, coordinating resources, ensuring compliance requirements are met, and facilitating communication between customers, suppliers, office personnel, and workshop teams. The position requires strong organisational and leadership skills, the ability to manage multiple priorities, and experience supervising staff within a service, manufacturing, engineering, equipment servicing, or parts supply environment. Candidates should possess at least three years of relevant experience in an office management or administrative coordination role and demonstrate excellent communication, problem-solving, and administrative systems management capabilities.

Tasks 

Administration & Systems Management

  • Organise and coordinate day-to-day procedures  
  • Set priorities and service standards to ensure consistent and efficient service delivery 
  • Develop, implement, and maintain administrative systems, procedures, and workflows 
  • Monitor operations to ensure efficiency, consistency, and alignment with business objectives 

Staff Coordination & Resource Management

  • Allocate resources to support business activities 
  • Assign work to staff and monitor performance to ensure tasks are completed effectively 
  • Support management in workforce planning and resource allocation 

Compliance 

  • Ensure compliance with workplace health and safety (WHS) requirements 
  • Ensure equipment, systems, and supplies are maintained and available to support business operations 

Communication & Stakeholder Coordination

  • Review, manage, and respond to business correspondence, including customer enquiries, service requests, and internal communications 
  • Liaise with clients, suppliers, and internal teams to ensure effective coordination of sales and service-related activities 
  • Maintain accurate records, documentation systems, and administrative databases 

Administrative Coordination of Service, Parts & Distribution Activities

  • Coordinate administrative aspects of sales and service activities, including documentation, scheduling support, and communication with relevant stakeholders 
  • Manage and direct administrative processes relating to delivery of parts and equipment, including last-mile delivery support where required 
  • Manage and direct administrative components of order processing and delivery schedules, and follow up on delays or discrepancies 
  • Manage and direct logistics-related staff by allocating tasks and monitoring workflow completion 
  • Monitor performance of order processing and delivery coordination activities and assist in implementing process improvements 
  • Manage communication between office staff, suppliers, and service teams to ensure timely and accurate information flow 

Experience
