We are looking for a highly organised and proactive Accounts & Administration Executive to join our growing car rental business based in Punchbowl, NSW.

This is a varied role suited to someone who enjoys administration, customer service, accounts management, and coordinating day-to-day business operations. You’ll play a key role in managing customer accounts, vehicle administration, fleet tracking, and supporting the smooth running of the business.

What you’ll be doing

  • Managing customer payments, including direct debit systems, payment follow-ups, and overdue accounts

  • Monitoring and maintaining accounts receivable/payable, invoices, and financial records

  • Tracking and managing the company vehicle fleet, including registrations, green slips, insurance renewals, servicing schedules, and maintenance requirements

  • Handling tolls, fines, and infringement notices, ensuring these are allocated and resolved promptly

  • Liaising with insurance brokers, mechanics, service providers, and suppliers regarding vehicle repairs, claims, and maintenance

  • Managing inbound and outbound customer calls and responding to enquiries professionally

  • Preparing reports, maintaining spreadsheets, and ensuring accurate data entry across internal systems

  • Assisting with monthly reconciliations and general accounting support

  • Coordinating administration tasks to ensure efficient day-to-day operations

  • Supporting directors with additional ad-hoc tasks as required

What we’re looking for

  • Previous experience in accounts, administration, operations, office management, or fleet management roles

  • Strong proficiency in Microsoft Excel and confidence using software systems and tracking platforms

  • Experience using accounting software such as Xero, MYOB, or similar (preferred but not essential)

  • Excellent organisational skills with strong attention to detail

  • Ability to manage multiple responsibilities and work independently

  • Strong communication skills and confidence dealing with customers, suppliers, and service providers

  • Basic understanding of vehicles and willingness to learn about fleet management processes

  • Current Australian Driver’s Licence required

  • Strong problem-solving skills and ability to work in a fast-paced environment
