Position Overview:

SAM Mills Pty Ltd is seeking an organised and proactive Office Manager to oversee and coordinate the daily administrative operations of our flour milling and food manufacturing business in Virginia, South Australia.

Reporting to the Director, the successful candidate will support office operations across administration, records management, staff coordination, purchasing, sales administration and business support functions to ensure the smooth operation of the business.

Task & responsibilities

The main responsibilities will encompass, but are not limited to:

Office Operations & Administration:

  • Plan, organise and coordinate day-to-day office operations to support the company’s milling, packaging, sales and dispatch activities.
  • Review and improve office procedures, filing systems and administrative processes.
  • Set priorities for office services, including customer enquiries, supplier correspondence, order paperwork and management requests.
  • Maintain office systems, internal forms, registers and administrative procedures.
  • Coordinate communication between office, production, warehouse, dispatch and management staff.

Resource, Equipment and Facilities Management:

  • Allocate and manage office resources, including administrative staff, workstations, equipment, filing areas, stationery and office supplies.
  • Ensure computers, printers, phones and general office facilities are maintained and available for use.
  • Coordinate procurement of office supplies and liaise with suppliers, contractors and service providers as required.
  • Support office administration relating to production records, packaging documentation, stock records and dispatch paperwork.
  • Maintain a professional, organised and functional office environment.
Staff Supervision & Personnel Administration:

  • Assign duties to administrative and clerical staff and monitor work performance against business requirements and office service standards.
  • Provide guidance and support to office staff involved in customer service, order processing, filing, data entry and accounts support.
  • Coordinate staff rosters, schedules, leave records and daily administrative coverage where required.
  • Assist with recruitment, onboarding, induction and training coordination for office staff.
  • Support payroll preparation, employee records and performance management documentation.

Records, Accounts and Business Documentation: 

  • Manage and maintain office records, filing systems, databases, correspondence and business documents.
  • Maintain invoices, receipts, expenses, supplier statements, purchase records and other accounts documentation.
  • Maintain customer records, supplier records, sales documentation, purchase orders and delivery paperwork.
  • Prepare reports, letters, meeting documents and administrative summaries for management.
  • Ensure records are accurate, confidential and stored in accordance with company procedures.

Liaison, Compliance and Office Support:

  • Liaise with directors, managers, production staff, warehouse staff, customers, suppliers, transport providers and external service providers.
  • Act as a central point of contact for office, customer service, purchasing and administration matters.
  • Assist with resolving administrative issues, customer enquiries and supplier paperwork.
  • Coordinate meetings, appointments, internal communication and office activities.
  • Liaise with accountants, bookkeepers, insurers, maintenance providers and other professionals as required.
  • Ensure office procedures and administrative work comply with relevant legislation, workplace health and safety requirements, company policies and internal procedures.
  • Maintain confidentiality of business, customer, supplier and employee records.

Qualifications and Experience

  • AQF Diploma or higher in Business Administration, Management or a related field.
  • Minimum of 1 year of relevant work experience.
  • Experience in manufacturing, food production, wholesale, distribution, logistics or a similar business environment is highly regarded.
  • Full, unrestricted work rights in Australia.
  • Knowledge of workplace policies, occupational health and safety procedures, record-keeping and office compliance requirements.

Essential Skills and Abilities

  • Strong organisational and office management skills. 
  • Ability to plan, coordinate and improve office services and administrative systems. 
  • Ability to supervise administrative staff, assign work and monitor performance.
  • Strong written and verbal communication skills. 
  • Ability to liaise effectively with directors, staff, customers, suppliers, transport providers and professional advisers. 
  • Strong record-keeping, accounts administration and documentation management skills. 
  • Ability to manage office equipment, supplies, facilities and administrative resources.
  • Sound understanding of workplace health and safety and office compliance procedures.
  • High attention to detail and ability to handle confidential information.
  • Proficiency in Microsoft Office Suite, email, spreadsheets and office administration systems.

Role Requirements

  • Availability to work full-time hours in accordance with business needs.
  • Ability to support office administration connected with food manufacturing, flour milling, packaging, sales, purchasing and dispatch operations.
  • Ability to manage competing priorities and meet deadlines in a busy manufacturing and distribution environment.
  • Ability to communicate professionally with management, staff, customers, suppliers and external service providers.
  • Some local travel may be required as per the business requirements.
