ESI GLOBAL SERVICES PTY LTD, a leading international education and migration consultancy headquartered in Sydney, is seeking an experienced Office manager to join our growing team. 

The successful candidate will be responsible for overseeing office operations, managing administrative functions, and ensuring the efficient day-to-day running of the organisation. The role involves coordinating office activities, supervising administrative staff, facilitating communication between teams, and maintaining effective systems and procedures to support business operations.

Task & responsibilities

  • Coordinate office activities and operations across regions, maintaining adequate records.
  • Facilitate standardisation of processes and workflows across locations to facilitate consistent service delivery.
  • Coordinate with team leaders to manage administrative staff in both locations, delegating responsibilities and matters based on operational priorities and expertise.
  • Maintain and control performance management systems and implement relevant KPIs specific to each region.
  • Handle cross-border correspondence and communications and implement quality assurance protocols to ensure consistency in service delivery across both locations.
  • Organise and schedule regional and in-office meetings, appointments and training sessions.
  • Maintain office policies and procedures compliant with relevant legislation, company service standards and confidentiality protocols.
  • Investigate issues, and collaborate with team leads to ensure prompt problem resolution across both locations, following client service standards and acceptable turnaround times.
  • Monitor, order and manage inventory and office supplies in both locations, ensuring office equipment is properly maintained.
  • Coordinate with IT and facilities vendors to support technological and operational requirements.
  • Address employees' queries regarding office management across both locations.
  • Ensure compliance with company policies and regulations domestically and internationally.
  • Budget preparation, expense control, training and performance management across both locations.
  • Assist the HR manager in managing payroll administration in accordance with relevant regulations.

Qualification & experience

  • Relevant tertiary qualification in Business or Law is desirable OR equivalent industry experience
  • Minimum 1 year of experience in the related field.
  • Strong leadership, communication, interpersonal, presentation, and negotiation skills.
  • Proactive, detail-oriented, and team-focused approach with the ability to manage multiple priorities in a fast-paced environment
